Frequently Asked Questions

Everything you need to know about our PDPA compliance, DPO services, AI compliance, website design, and more.

General & Pricing

What exactly does DataCare do?

We help Singapore SMEs and businesses become PDPA-compliant and manage data protection. We offer PDPA compliance setup, outsourced DPO (Data Protection Officer) services, AI compliance frameworks, website design with built-in compliance, and the AI Website Assistant for 24/7 customer support. Essentially, we handle data protection so you can focus on growing your business.

Why do I need compliance services?

Under Singapore's PDPA (Personal Data Protection Act), every organization must have a designated Data Protection Officer and proper data handling processes. Non-compliance can result in penalties up to $1 million. Our services help you avoid penalties, build customer trust, and operate legally.

What's the difference between PDPA Compliance Setup and Ongoing Protection?

PDPA Compliance Setup (one-time fee, $3,500–$10,500) gets your business compliant with gap analysis, policies, training, and documentation.

Ongoing Protection (annual fee, $2,000–$6,000/year) keeps you compliant after setup with quarterly reviews, monthly checks, and breach response support.

Do your prices include GST/Tax?

All prices shown are before applicable taxes. GST will be added at checkout if applicable to your organization.

Do you offer payment plans?

For larger packages (PDPA Setup, AI Compliance, Website Design), we can discuss payment plans. Contact us for options.

What's the payment schedule?

We use milestone-based payments:

  • 50% Deposit — Due before work begins
  • 25% at Design Milestone — Due when you approve mockups
  • 25% at Launch — Due before we go live

This means you only pay for completed work at each stage.

Can I cancel my project? What happens to my payment?

You can cancel anytime, but the 50% deposit is non-refundable once work commences. If you cancel after design approval, you'd owe both the deposit (50%) and the design milestone fee (25%). See our Refund Policy for full details.

What if I want to add features during the project?

Any requests beyond your original scope are quoted separately as change orders. We'll discuss pricing before implementing anything extra — no surprises.

What if I'm slow providing content or feedback?

Our delivery timelines assume you provide content and feedback within 3 business days. If there are delays, we'll adjust your go-live date accordingly. No penalties — just a revised timeline.

What payment methods do you accept?

We accept bank transfers and PayNow. We'll send you an invoice with payment instructions.

Are there any hidden costs I should know about?

No. Our pricing is transparent. The only additional costs are optional: domain registration (~$15–100/year depending on the domain extension, managed directly with a domain registrar), hosting (from $49/month if you want our managed option), and any add-ons you choose.

Can I get a custom quote?

Absolutely. Every business is different. Contact us with your requirements and we'll provide a tailored quote.

How quickly can you deliver?

Delivery times vary:

  • PDPA Setup: 4–6 weeks
  • AI Compliance: 2–6 weeks
  • Website Design: 5–7 days (landing page) to 3–4 weeks (full site)
  • AI Website Assistant: 3–7 days
  • DPO Services: Available immediately upon contract
What if I'm unhappy with the service?

We offer a 30-day satisfaction period. If you're not happy, contact us to discuss. See our Refund Policy for details.

What's the difference between DPO as a Service and Ongoing Monitoring?

They serve different purposes. Here's a side-by-side comparison:

Activity Ongoing Protection DPO Services
Policy updates Review for relevance Draft & advise on new ones
Breach response You handle, we guide via email DPO manages & liaisons with PDPC
Vendor assessment No Yes, DPO provides formal advice
DSAR requests No Yes, DPO handles entirely
PDPC contact You contact, we help draft reply DPO contacts directly on your behalf
On-site visits Add-on ($200/visit) Included in Premium
Decision-making You decide, we advise DPO decides within our scope
Support speed Email (priority response) Hotline (varies by tier)

In short: Choose DPO as a Service if you need a named, registered Data Protection Officer. Choose Ongoing Monitoring if you've already completed PDPA setup and want to keep your compliance current.

PDPA Compliance

What's PDPA and do I really need to be compliant?

PDPA is Singapore's Personal Data Protection Act. If you collect personal data from customers, employees, or anyone else, you must be compliant. This includes name, email, phone, ID numbers, and more. Yes, you really need compliance — penalties are up to $1 million.

What's included in PDPA Compliance Setup?

Depends on your tier:

  • Tier 1 (1–10 employees, $3,500): Gap analysis, 5 policies, 1 training session, 3 process templates, 12-month email support
  • Tier 2 (11–30 employees, $6,500): Gap analysis, 8 policies, 2 training sessions, 5 process templates, 12-month phone support
  • Tier 3 (31–50 employees, $10,500): Full gap analysis, 12 policies, 3 training sessions, complete documentation, 12-month priority support
How long does PDPA setup take?

Typically 4–6 weeks, depending on your business complexity and how quickly you provide required information.

What happens after Year 1 is up?

The initial setup includes 12 months of support. After that, we recommend Ongoing Protection (annual fee) to keep you compliant with policy updates and quarterly reviews. Or you can renew DPO Services for ongoing oversight.

Do I need DPO Services if I do PDPA Setup?

Not required, but recommended. PDPA Setup gets you compliant; DPO Services provide ongoing compliance oversight, breach response support, and PDPC liaison. Many clients do both.

What's a Data Protection Officer (DPO)?

A DPO is the person responsible for ensuring your organization stays PDPA-compliant. Under PDPA, every organization must have one — either an internal staff member or outsourced (like our service).

Can you help if I already have policies but no documentation?

Yes. We can audit your existing policies, fill documentation gaps, and get you formally compliant. Contact us for a custom quote.

Is compliance a one-time thing?

No. PDPA requires ongoing compliance: policy updates, staff training, breach monitoring, and audits. This is why Ongoing Protection or DPO Services exist.

What if I have a data breach?

Contact us immediately. We offer priority breach response support during business hours with after-hours on-call availability (included in Ongoing Protection and DPO Services). We help with PDPC notification, containment, and recovery.

Outsourced DPO Services

What's the difference between PDPA Compliance and DPO Services?

PDPA Compliance is one-time setup (gap analysis, policies, training). DPO Services is an ongoing monthly service providing compliance oversight, breach response support, and PDPC liaison on regulatory matters.

How much is outsourced DPO?
  • Essential (1–20 employees): $800/month
  • Standard (21–50 employees): $1,200/month
  • Premium (51–150 employees): $1,800/month
What does your DPO do for us?

Your dedicated DPO will:

  • Provide ongoing compliance advice and oversight
  • Provide PDPC liaison support and guidance on regulatory matters
  • Respond to data subject access requests
  • Review new projects for compliance
  • Conduct vendor due diligence
  • Provide breach incident response (priority during business hours, after-hours on-call for Premium tier)
  • Give compliance sign-offs on business decisions
What's the difference between Essential, Standard, and Premium tiers?
  • Essential: Email support (48-hour response), quarterly reviews, basic breach response
  • Standard: Phone support (24-hour response), monthly check-ins, priority breach response (4-hour)
  • Premium: Same-day response, on-site visits (2/year), full regulatory liaison support
Can I upgrade my DPO tier later?

Yes, you can upgrade anytime. Just contact us.

Do I still need PDPA Compliance Setup if I hire you as my DPO?

We recommend starting with PDPA Compliance Setup to get foundational policies and documentation in place. Then DPO Services maintains that compliance ongoing. But if you already have policies, you can start with DPO Services alone.

How long does it take to onboard a DPO?

Typically 1–2 weeks. We'll review your current compliance status, meet with your team, and establish our oversight protocols.

AI Compliance

What's AI Compliance and do I need it?

AI Compliance helps you govern AI tools your business uses (ChatGPT, AI chatbots, predictive tools, etc.). As AI adoption accelerates, regulatory bodies are watching AI use — especially around data privacy. If you use AI, compliance is important.

What's included in AI Compliance packages?
  • Starter ($3,000–$4,500): AI system inventory, risk classification, governance policy, AI disclosure clause
  • Standard ($8,000–$13,000): Full governance framework, risk matrix, data mapping, vendor due diligence, staff training
  • Premium ($15,000–$20,000): Complete PDPA + AI integration, security baseline, ongoing advisory (6 months), quarterly reviews
How is AI Compliance different from PDPA Compliance?

PDPA covers all personal data protection broadly. AI Compliance specifically addresses risks from AI systems — bias, algorithmic transparency, data security within AI, and responsible AI deployment.

Do I need both AI Compliance and PDPA Compliance?

If you use AI tools, we recommend both. PDPA ensures you handle personal data properly; AI Compliance ensures the AI tools themselves are responsible and compliant.

Can I bundle PDPA + AI Compliance?

Yes. Our Premium AI Compliance tier ($15,000–$20,000) combines both with 6 months of ongoing support.

How long does AI Compliance take?

2–6 weeks depending on package and complexity of your AI systems.

Automation & SaaS

What's the difference between Automation projects and Website Design?

Website Design ($688–$3,500) builds your public-facing website — the site customers visit, with pages, forms, and content.

Automation ($2,500–$50,000+) handles internal/backend process automation — connecting systems, eliminating manual work, and building custom software tools.

Example: Your website captures a lead via a contact form (Website Design) → Automation routes that lead to your CRM, sends a follow-up email, and notifies your sales team on Slack.

What kind of automation can you do?
  • Workflow automation: Approvals, notifications, scheduling, task routing
  • System integrations: Connect your business tools via APIs (CRM, accounting, email, etc.)
  • Data entry automation: OCR, auto-extract from documents, auto-import into systems
  • Custom SaaS applications: Build your own software tailored to your business
  • RPA (Robotic Process Automation): Software robots that mimic human actions in existing systems
How much does automation typically cost?
  • Quick Win — $2,500: 1 workflow automated, 2–3 weeks delivery
  • System Integration — $5,500: 2–3 API integrations, 3–4 weeks delivery
  • Multi-System — $9,500: 4–6 integrations, 4–5 weeks delivery
  • Custom SaaS — $15,000–$50,000+: Full custom application, 6–12 weeks delivery

All tiers include 30 days of free support, documentation, and training.

What if I need more than my allocated hours?

You can upgrade your tier anytime, or pay for overflow work on an ad-hoc basis. The Premium tier includes unlimited hours, so there's no cap.

Can I start with a website and add management later?

Yes. You can start management anytime after your website is built. Earlier is better for a smoother transition, but there's no deadline. You can also start with Basic management and upgrade to Standard or Premium whenever you need more.

If I built my website with someone else, can you manage it?

Yes, we manage any website regardless of who built it — WordPress, Wix, custom HTML, or any other platform. We'll audit your site first and advise on any improvements needed before starting management.

When should I redesign vs. use management services?
  • Redesign ($400–$5,000): One-time project — layout overhaul, tech upgrade, or visual refresh.
  • Management ($400–$2,000/mo): Ongoing — regular content updates, SEO, continuous improvement.

Many clients do a redesign first, then move to management for ongoing care.
